The addendum is made to provide clarifications requested by potential bidders and is now part of the tender document. MINUTES OF THE PRE-BID MEETING HELD WITH POSSIBLE BIDDERS ON 1ST NOVEMBER 2021 AT 11:00 AM IN THE KISUMU BRANCH – REFERRED OFFER CBK-038-2021-2021

Minutes n ° 1 – Introduction

The Chair opened the meeting and welcomed the members and representatives of the bidders. The Assembly attracted twenty (20) companies. Bidders’ representatives were informed that the purpose of the meeting was to educate potential bidders on the requirements of the tender.

Minutes n ° 2 – Examination of the tender dossier

The representatives of the tenderers have taken cognizance of the tender documents. Emphasis was placed on the guidelines for the preparation of tender documents and the evaluation criteria for tenders for cleaning, gardening and auxiliary services for the Kisumu branch of the Bank. Central Kenya. Bidders have been advised to study the requirements of the tender and prepare their offers in accordance with the guidelines of the tender documents ensuring that all required documents are provided. Bidders were also asked to understand the evaluation criteria and self-assess before bid submission to ensure compliance with the requirements of the bidding.

During the meeting, potential bidders were allowed to ask questions on some of the issues that they believed needed clarification and / or advice during the pre-bid meeting.

The following questions were raised by the bidders during the site visit:

  • Fumigation period – (timelines) ii. Garbage collection period (timelines)
  • Specified working machinery and required chemicals
  • If the sanitary collection is included in the tender

The President answered all questions. He also advised bidders to check each review and necessary observations when visiting the site to ensure accuracy when bidding. Bidders have further been informed that when opening tenders, the company representative will have to present himself with a letter of introduction from their company and personal identity cards.

Bidders have been advised that an addendum will be issued to address any concerns and any emerging issues, if necessary. In addition, potential bidders have been advised to direct any inquiries to [email protected]

As there was no other business, the meeting ended at 1:00 p.m.
